Why event hire is different

One wedding is two hundred line items

Party and event rental is bulk-quantity rental under time pressure: a single Saturday can take two hundred chairs, twenty round tables and a marquee, and the next enquiry needs to know at once what’s left.

Quantities, not serials

You rent two hundred of a chair, not one numbered chair, and every date has its own count of what’s left.

Stock counted per date.

Weekends take everything

Three weddings, a company launch and a school fete can all want the same eighty gold Chiavari chairs on the same Saturday in June.

Peak weekends visible before they sell out.

Out longer than the event

A marquee for a Saturday reception goes up on Thursday and comes down on Monday, and it’s gone from stock for all of it.

Setup and strike days held.

Trucks and crews are the limit

On a busy Saturday it’s delivery windows and crews, not chairs, that run out first.

Delivery windows as time slots.

Orders are packages

A marquee, a dance floor, tables, linens and place settings: every line has its own stock count and its own return.

Packages that draw down each item.

It comes back short

China, glass and linen come back chipped or missing after almost every event.

Deposits and a breakage waiver.

Every item holds a real quantity and is drawn down per date, not per order. Own 300 chairs, commit 220 across two events on the 14th, and the calendar offers 80 for that date, to your staff and to a customer booking at two in the morning. A single order can take 500 of an item if you own them, with no per-item record to create.

The inventory report shows what’s left of every item, day by day, for a month at a time, so peak weekends are visible before they sell out, and the Rentals Dashboard lists what goes out and comes back each day. See the full rental feature list.

Setup and strike

Tents held from the build to the strike

A frame tent booked for a Saturday reception can be out of stock from Thursday’s build to Monday’s strike and drying. Padding before and after the rental holds it for the whole real-world window, while the customer pays only for the days they booked.

The same buffer covers linens on their way to the laundry, dance floors that need cleaning and anything that has to dry before it’s hired again. Set it once per product, in hours or days, and every calendar reflects it.

Delivery windows

Delivery and collection as scheduled work

Delivery windows are time slots in the date picker, so the customer picks a window when they book and it’s on the order from then on. Delivery can be priced by zone through your shipping settings, and out-of-hours delivery or collection can be a priced option Pro.

Each morning the pick list comes off the orders as a CSV or PDF for the crew, the Send & Return desk checks everything out and back in, and every order sits on one calendar view, so the trucks, not only the chairs, are in view when you quote.

At booking, not by email

Packages, waivers, deposits and venue details in one checkout

Sell a “Wedding for 100” as one package while each chair, table and linen still draws down its own stock, and offer linen, lighting and heaters on the same order.

  • Tables
  • Chairs
  • Linens
  • Festoon lights
  • Dance floor
  • Tent sidewalls
  • Heaters

Refundable damage deposits

Taken at checkout and released, or partly kept, against the line that came back damaged or short. Or hold the card as a secure token and charge it only if needed.

ProSecurity Deposits plugin

Hire agreements signed online

Generated as a PDF with the delivery window and your terms, signed before the goods leave the yard and stored with a timestamp. Our free rental contract templates are a starting point.

ProContract Signing plugin

Breakage and damage waiver

A fixed or percentage waiver offered at checkout as an opt-in, with the customer’s decision recorded on the order, so a missing glass is a choice they already made, not an invoice argument.

ProCustom Fields plugin

Venue and access details

Guest count and table layout, the venue and room or marquee size, the on-the-day contact, and access: loading bay, stairs, lift or parking. Required fields block add-to-cart. About custom fields.

ProCustom Fields plugin

Setup, staffing and extras per line

Out-of-hours setup, staffing, corkage and linen colour, each charged per unit. Fields belong to each item, so a marquee in a field and a bar in a village hall carry their own venue and times on one order.

ProCustom Fields plugin

Packages that count every piece

Bundles and composite products, with the WooCommerce Product Bundles or Composite Products extension, where each component still draws down its own real stock.

Pro included in Rentals & Bookings Pro, or sold on its own. Everything else here comes with Regular.

Party and event rental software questions

Can it handle bulk quantities like 500 chairs?

Yes. Stock is held as a quantity per product and drawn down per date, so one order can take 500 of an item and the calendar immediately shows what remains for every other date. There is no per-item record to create.

Can customers book party rentals online themselves?

Yes. The storefront is your own WooCommerce or Magento 2 site, so customers pick dates on a live availability calendar, build their order, pay online and sign the hire agreement.

Does it handle setup and breakdown days?

Yes. Each product can carry padding before and after the booked period, so a marquee out for a Saturday event is unavailable from the Thursday build to the Monday strike, while the customer is billed only for the event day.

Can I sell packages rather than individual items?

Yes. Bundles and composite products, through WooCommerce Product Bundles or Composite Products, let you sell a “Wedding for 150” with tables, chairs, linens and glassware, while each component still draws down its own stock.

Can I schedule deliveries and collections?

Yes. The customer picks a delivery window as a time slot when they book, the window is on the order, and each day’s pick list comes off the orders as a CSV or PDF for the crew.

Is there a free party rental software option?

Yes: Rentals & Bookings Lite is free, with the booking calendar, quantity inventory and guests. Regular adds pick lists, the Send & Return desk and seasonal pricing, and Pro adds deposits and signed agreements, each on a one-time licence rather than a subscription.

Do I pay a fee on each booking?

No. There is no per-booking fee and no commission on order value; you pay only your payment gateway’s normal card rate. See how we compare with Goodshuffle Pro and Checkfront.
