Customers hire a specific trailer, not a stock count
Most booking plugins assume identical stock and a customer who turns up and leaves. A trailer yard also has to check the tow vehicle, the licence and the deposit, and price hours, days and weekends on the same unit.
Every trailer is an asset
Utility, enclosed, car hauler, dump and equipment trailers each carry a VIN and a plate, with their own tyre, brake and light history.

The tow vehicle is part of the booking
A 14-foot tandem-axle enclosed trailer needs a Class III hitch and a tow vehicle rated for the loaded weight. The wrong pairing is a liability on the highway.

Each trailer carries hourly, daily, weekly and monthly rates at once, and the rate is picked from the dates and times chosen: a four-hour local move by the hour, a Thursday-to-Tuesday hire by the day, a contractor’s month by the month. Special pricing by date covers holiday weekends and moving season, and a minimum length stops a car hauler being booked for an hour.
Customers who need the trailer longer extend the hire from their own account, and the calendar checks nobody else has it first. iCal feeds let you list the same campervan on other booking sites, and an iCal import blocks the dates booked there. See the full rental feature list.
Tracked by plate, and checked before it goes out again
Keep straps, dollies and hitch balls on simple quantities and track each trailer by plate, VIN or asset number, with its own hire history: who had the car hauler the weekend the fender came back bent, what was charged and what the deposit covered. Take one unit out of the pool for a bearing repack without touching the others, and let the Usage Report show which sizes earn and which sit by the fence.
A buffer after every hire, per trailer, in hours or days, is taken off sale by the calendar itself: with two hours, a unit back at 4 pm is offered again from 6 pm. QR or barcode labels let staff scan each trailer out and back in at the Send & Return desk.
One depot or several, round trip or one-way
Most independent yards run one depot, and every trailer starts and ends its hire there. With the Multi Location Inventory plugin, each depot keeps its own trailers, opening hours and staff; customers choose a pick-up depot and a return depot, and a one-way fee shows before they book.

Refundable damage deposits
Hold a deposit per trailer or per order at checkout, through your own payment gateway. It goes back when the unit is checked in and the order completed, or part of it is kept for a bent fender, with the reason on the order.
Signed rental agreements
The customer signs your rental agreement, towing terms and liability wording at checkout; a PDF with their signature is attached to the order and emailed. Need a starting point? See our free rental contract templates.
Tow vehicle, hitch and licence
Ask for the tow vehicle, the hitch class, a 4-pin or 7-pin connector and the licence category, make them required, and take a photo of the driver’s licence into an approval queue. Answers belong to the cart line, so two trailers carry two sets. About custom fields and ID checks.

From yard to first hire in six steps
Step 1: A product per trailer type, a serial per unit
5 × 8 utility, 6 × 12 enclosed, car hauler, dump trailer or campervan, each unit added by plate or asset number.
Step 2: The calendar on the product page
A pick-up date and time and a return time, with buffers and existing hires already taken off.
Step 3: Rates and the minimum hire

Trailer rental software FAQs
Can I track each trailer individually rather than as a stock count?
Yes. Serial numbers are built in: each trailer is its own asset with a plate or VIN and a full hire history. Straps and hitches can stay on simple quantities in the same catalogue.
Can one trailer have hourly, daily and weekend prices at the same time?
Yes. Each product carries hourly, daily, weekly and monthly rates, and the engine picks the right one from the dates and times chosen. Weekend and holiday pricing is set by date, and a minimum hire length stops a trailer being booked for a single hour.
How do I make sure the customer’s vehicle can tow the trailer?
With the Custom Fields plugin in Pro you ask for the tow vehicle, hitch class, connector type and licence category on the product page, make those fields required, and take a photo of the driver’s licence. The answers are stored against the order line for that trailer.
Can I take a damage deposit and give it back automatically?
Yes, with the Security Deposits plugin in Pro. The deposit is taken at checkout through your payment gateway and returned automatically when the order is completed, or part of it is kept if the trailer comes back damaged, with the reason recorded.
Does it handle one-way trips between depots?
Yes, with the Multi Location Inventory plugin: each depot keeps its own trailers and hours, customers choose a pick-up and a return depot, and a one-way fee shows before they book. On Magento 2, multi-source inventory holds trailers per yard.
Can I list a campervan on other booking sites too?
Yes. Each product has an iCal feed for sites such as Airbnb or Booking.com, and an iCal import blocks the dates booked there, so the same van isn’t sold twice.
Can customers extend a hire online?
Yes. They extend from My Account, the calendar checks the trailer is still free, and the extra time is priced from your rates.
Is there a monthly fee or a commission on bookings?
No. It installs on your own WooCommerce or Magento 2 site on a one-time licence, and bookings, customer data and signed agreements stay in your own database. See our self-hosted, open-source rental software overview.
