Renting out trailers is a specific-unit business. The customer does not hire “a 6×12 enclosed” — they hire the one with plate 4471, and whether it comes back on time, with the lights working and the ramp door intact, is recorded against that plate. Add the towing questions (does their vehicle have the hitch class and rated capacity for the trailer they want?), the licence check at the counter, and the hourly-versus-weekend pricing arithmetic, and a generic booking plugin runs out of road quickly. What Makes Trailer Rental Different
Most booking plugins assume interchangeable stock and a customer who turns up, uses the thing, and leaves. A trailer yard breaks that on the first hire:
- Every trailer is an individual asset. Utility, enclosed cargo, car hauler, dump, equipment and flatbed trailers each carry a VIN and a plate, and each has its own tyre, brake and light history. You need to know which unit went out, not how many.
- The customer’s vehicle is part of the booking. A 14-foot tandem-axle enclosed trailer needs a Class III hitch and a tow vehicle rated for the loaded weight. The wrong pairing is a liability problem on the highway, not a preference.
- Pricing is by the hour, the day and the weekend — and they overlap. A four-hour local move, a daily rate, a Friday-to-Monday weekend rate and a weekly rate all apply to the same trailer, and the right one has to be picked automatically from the dates chosen.
- Turnaround is short but real. A trailer comes back, the lights and tyres are checked, the deck is swept, and only then is it rentable again. A same-day rebooking should not be sold before the check is done.
- Deposits, licences and agreements happen every time. A damage deposit, a photographed driver’s licence and a signed rental agreement are standard before a hitch pin goes in.
- One-way hires complicate the calendar. A trailer that leaves one yard and returns to another has to disappear from the first location’s availability and appear at the second.
Track Every Trailer by Plate, VIN or Asset Number

Hourly, Daily, Weekend and Weekly Rates on One Trailer
Trailer pricing is where spreadsheets creep in. Sales Igniter lets each trailer carry hourly, daily, weekly and monthly rates at the same time, with the rate chosen from the dates and times the customer selects. A four-hour hire is priced hourly; a Thursday-to-Tuesday hire is priced by the day with the longer-hire discount applied; a contractor keeping an equipment trailer for a month gets the monthly rate. Special pricing by date lets you charge more over holiday weekends and moving season, and a minimum hire length can be set per trailer so a car hauler is never booked for an hour.
Extras are sold on the same line: hitch and ball rental, wiring adapters, straps, a spare tyre, delivery to site, and a roadside assistance option, each as a chargeable add-on the customer picks before checkout. Customers who need the trailer longer can extend the hire from their own account, and the calendar checks that nobody else has it before it says yes.
Hitch Class, Towing Capacity and Licence Checks at Booking
The questions a counter clerk asks are questions the website should ask first. With the rental custom fields add-on you attach fields to the trailer product: tow vehicle make and model, hitch class fitted, whether the vehicle has a 4-pin or 7-pin connector, and whether the driver holds the licence category the trailer’s gross weight requires. Fields can be required, so a customer cannot add a tandem-axle trailer to the cart without confirming a rated hitch, and they belong to the cart line, so an order for two trailers carries two answers.
The same add-on captures a photograph of the driver’s licence and, if you want it, the tow vehicle’s registration. Uploaded documents are stored outside the public uploads folder and can be purged automatically after the hire closes. Turnaround Buffers Between Hires
A trailer returned at 4pm is not the same as a trailer ready at 4pm. Sales Igniter lets you set a buffer after every hire, per trailer or as a site default, in hours or days. With a two-hour buffer, a unit back at 4pm is offered from 6pm; with a one-day buffer on the dump trailers, a Saturday return is next available on Monday. The availability calendar greys the buffer out itself, so no one has to remember to hold it back, and no customer arrives to a trailer that still has last hire’s gravel in it.
Round Trip or One-Way, Single Yard or Several
Most independent trailer operators run one yard, and the WooCommerce build handles that cleanly: every trailer is at your address, the customer picks it up and returns it there, and the calendar is the single source of truth. Setting Up Trailer Rental Bookings, Step by Step
1. Register each trailer as a serial-numbered unit
Create a product per trailer type — 5×8 utility, 6×12 enclosed, 7×16 car hauler, 14-foot dump — and add each physical unit under it by plate or asset number. Accessories stay on simple quantities.
2. Put the booking calendar on the product page
Customers choose a pickup date and time and either a return time or a hire length. The calendar shows availability for that trailer type only, with buffers and existing hires already removed.
3. Set the rates and the minimum hire
Enter hourly, daily, weekly and monthly prices, add weekend and holiday pricing by date, and set a minimum length on trailers you never rent by the hour.
4. Add the towing and licence questions
Attach tow vehicle, hitch class, connector type and licence fields to the product, mark the ones that must be answered, and add a licence photo upload.
