What every rental business needs, whatever it rents

These are the parts that do not change. If a booking system is missing any of them it is a scheduling tool, not rental software, and you will end up running a spreadsheet beside it.

Availability that knows about time

Stock has to be counted per date and per hour, not as a single “in stock” number. An item hired out Friday to Monday is unavailable on all four days, and free again on the fifth.

Two things are worth doing before you talk to anyone. What is rental software?

Rental software books an item out for a period of time rather than selling it. It has to know what is physically available on every date, hold stock while a booking is in progress, price by hour, day, week or season, block out the turnaround time between two hires, take and later release a deposit, and put the item back into stock when it returns.
