Schedule, run sheets and reports

4 min read

The Schedule shows your routes by day and by week. Use it to change routes by hand, print run sheets for the drivers and export the day. Reports shows how the routes went.

The Schedule #

Pick the Day (with ‹, › or Today) and the Location. The tabs show the day three ways:

TabShows
BoardOne column per route, plus Not on a route. Each route shows its vehicle’s colour, its stops, km and driving time.
ListEvery stop of the day in a table: Route, Stop, Order, Customer, Address, Slot, Planned, Status and Items.
WeekEach day of the week: Stops, Deliveries, Collections, Not on a route, Routes, Sent, Done and Couldn’t deliver.

With no routes on the day yet: “No routes on this day yet. Plan the day, or add a route.”

Change routes by hand #

  • Add route: give it a Route name, and choose a Vehicle and a Driver (both can be No vehicle and No driver). Click Add.
  • Rename a route, or change its vehicle or driver. The driver can change until they start the route.
  • Remove a route: “Remove this route? Its stops go back to Not on a route.”
  • Move a stop: drag it onto another route, or use Move to. Up and Down change its place on the route.
  • Order this route puts the route’s stops in driving order. Undo order puts them back.
  • Directions opens the route’s stops in order as map directions. A long route gets several links: Directions 1, Directions 2 and so on.

A sent stop can still move until the driver is on the way to it; the driver’s phone shows the change. After that: “This stop is already on the way or finished: it can no longer move.”

The stop drawer #

Click a stop to open it. The drawer shows the order (with Open order in Shopify), its Route and Planned time, Phone, Instructions, Note and Items. After the visit it shows the Proof of delivery: Received by, the Signature and each Photo, or the Reason it couldn’t be delivered. Texts says whether the customer said yes to delivery texts (Yes, No or Not asked).

Under Change time, set a new Day, From and To and click Save.

History lists everything that happened to the stop, for example “Added from the order”, “Planned on a route”, “Sent to the driver”, “Driver on the way”, “Delivered” and “Marked delivered in Shopify”.

Run sheets #

Print run sheets prints one page per route of the day; Print run sheet on a route prints only that one. Each sheet has the route name, the location, the number of stops, the vehicle, km and driving time, the map links, and a table of stops in order: the planned time, Deliver or Collect with the slot, the customer and phone, the address, the items, the notes and a signature box. Below it, the Load list (last out first) lists what to load, in the order to put it in the vehicle.

Export the day as a CSV #

Export CSV downloads the day’s stops with the columns ID, Name, Address, Latitude, Longitude, From, To, Duration, Notes, Phone, Email, Types, Load, Order and Items, ready for other route tools. Exporting to CSV is part of the Pro plan.

The day sheet email #

Each morning, your staff get the day’s routes and stops by email, one email per location: “… the Schedule for …”, with Open the Schedule. Nothing is sent on a day with nothing on. Your store email and notification addresses always get it; add more addresses, and change the hour, under Settings › Messages › Day sheet. See Customer emails and texts.

Reports #

Reports shows your routes day by day and vehicle by vehicle, for up to 62 days (the last 7 days unless you choose). Pick From, To and the Location (or All locations) and click Show.

ColumnMeans
Day and VehicleOne row per vehicle per day. All vehicles adds them up.
StopsStops on that vehicle’s routes.
Done and Couldn’t deliverHow they ended.
Km and DrivingThe routes’ distance and driving time.
On the roadFrom Start route to End route in the driver app, or the planned time when the driver didn’t tap them.
Stops per hourStops per hour on the road.

Export CSV downloads the same table. Reports are part of the Pro plan.

Good to know #

  • Routes come from Accept plan on Plan the day, or from Add route here. Both appear in both places.
  • The printed sheet and the CSV are only as good as the addresses on the orders.
