Rent at the counter with Shopify POS. Staff book a rental for a walk-in customer, see what goes out and comes back today, and check rentals out and in on the POS app on a phone or tablet. The same stock, rules and prices apply as on your online store.
Set it up #
- In the Shopify admin, give each staff member who rents at the counter access to the app. Without it, POS shows “You don’t have access to Rentals in POS. Ask the store owner to give your staff account the app permission, then log in again.”
- In the POS app, add the Rentals tile to your smart grid.
- In POS settings, add the Rentals block to the customer screen, and the Rental block and menu item to the order screen. POS adds app blocks screen by screen, so each one is added once.
The tile shows what is due, for example “4 out · 3 back · 1 overdue”. It refreshes every 5 minutes and turns to the accent colour when something is overdue.
Book a rental #
Tap the Rentals tile. The Rental desk opens on New rental.
- Find the product: search by title, variant or SKU, or scan its barcode. An exact SKU match is picked straight away.
- Quantity: up to the units you own.
- Dates: tap Pick dates, or tap the days in the availability list beside it: first the pick-up day, then the return day. Each day shows “3 left”, “1 left”, “Sold out”, “Closed” with the reason, “Past” or “Too far ahead”, a week at a time (Earlier and Later). With a fixed length, one tap sets the start and the end follows the length. With set departures, choose one of that day’s departures.
- Times, for rentals by day and time: the pick-up and return time, checked against your opening hours and what is already booked.
- The price shows as soon as the booking is complete: the breakdown, the quantity and the Total.
- Add to cart. The units are held for the store’s hold time (30 minutes unless you changed it) while the customer pays.
Payment is POS’s own. When the order is placed, the rental becomes a booking like any online one, marked as made in POS. It shows in Bookings, on the dashboard and on the order.
A day that can’t be booked is refused with the reason, for example “Fri, Oct 4 is sold out.” or “Mon, Oct 7 is closed: Stocktake.”
Hand over and take back #
The desk’s Today tab lists overdue returns, pick-ups today and returns today, with a count in each heading. Tap a rental, choose the quantity and tap Check out or Check in. The move is recorded against the staff member and this POS location, like a move at the Send & Return desk.
Scan (the camera button, or any barcode scanner) finds an order number, a booking number or a SKU. One exact match opens straight away.
The same buttons are on the customer screen (the Rentals block lists current and upcoming rentals; View rentals shows them all) and on the order screen (the Rental block shows each line’s dates, progress and status).
Serial numbers #
For products that track serial numbers, the rental shows Serial numbers going out (pick them, or type or scan one) and Serial numbers coming back. Picking serials sets the quantity. Scanning a serial in Today opens the rental it belongs to with that serial picked. The order and customer blocks list which serials are out and which came back.
Several locations #
When you rent from two or more locations, New rental asks for the Pick-up location and shows that location’s availability. An item this location doesn’t stock can still be booked for pick-up at another location. Today and the tile show this location’s pick-ups and returns; All locations shows every location.
Prices at the register #
The rental goes on the cart as its rent variant, and the app sets its price, as online. If the cart shows a different price, the desk says “Check the price on the cart”. Open the desk’s Settings tab and switch this device to custom sales: the rental then goes on the cart as a custom sale at the quoted price.
Staff can still change a price or add a discount at the register. The order is accepted, but its booking is flagged as a conflict, and the order’s Rental block says “The price was changed at the register”, so you can check it.
Without a connection #
When the device is offline, Today shows the last list it saw (“This is the list from 9:40 AM”), and the tile keeps its last counts. New rental, Customers, Check out and Check in need a connection and are turned off until it’s back.
Good to know #
- POS runs no checkout checks, so the app checks each POS order when it arrives, as described above.
- Deposits, extending a rental, and signing an agreement on the device aren’t available at the counter yet.
- The desk follows the language of the POS app.
