Tours add five emails: four about departures, and a review request sent after the tour.
The departure emails #
Find them in WooCommerce › Settings › Emails. Each can be turned off and has its own subject, heading and additional content.
| Sent to | When | |
|---|---|---|
| Departure cancelled | The guests | You cancel a departure with The guests (email) ticked. It gives the reason and the refund, or the Choose a new departure link and the date by which they must choose. |
| Departure time changed | The guests | You change a departure’s time. One email per order. |
| Departure guaranteed | The guests | A departure with a minimum has enough guests, or you clicked Run anyway. Only when the product’s Email guests when it is guaranteed is on. |
| Departure below its minimum | The shop | 24 hours before a departure’s deadline and at it, while it has fewer guests than its minimum. Its Recipient(s) are your new-order recipients unless you set your own. |
| Review request | The guests | After the booking ends (set up below). |
The guests’ order emails also carry their tickets (see Manifest, check-in and QR tickets).
The review request #
The review request asks guests how it was, with a link to leave a review. It is off until you add a timing.
- Open Rentals › Settings › Emails and find Review request.
- Add a row: for example Time after the booking ended 1, Unit Days, and optionally Send at (time of day) 10:00. The row turns it on.
- Optional: a Review address, such as your Google review link.
{review_link}in the email sends guests there. Empty: the product’s own reviews. - Below it, change the email’s Subject (“How was it?”), Email heading (“Thank you for coming”) and Email body if you like.
- Click Save.
Only guests who came are asked: a tour booking is asked once it was checked in, and a rental once it was handed over. No-shows never get it. It works for any rental, not just tours.
