Limit sales and resources also rented on their own

By default staff don’t change what you sell: a booking is taken even when nobody is free, and the staff screens show what is missing (Track). With Limit sales, a product is only sold online when the staff or resources it needs are free.

Turn on Limit sales #

  1. Edit the product and open its Staff & resources tab.
  2. On the requirement row, set When nobody is free to Limit sales.
  3. Click Update.

Each row has its own choice: a tour can limit sales on its boat and only track its guides.

What customers see #

  • Bookings by time or date: the calendar greys out the times that nobody qualified can cover. If someone else books the last guide while a customer checks out, the customer sees “No guide is free for this time any more. Please choose another time.”
  • Departures: a departure sells only the seats its staff and resources can take. With a boat row on Limit sales and A seat for every guest, a free boat with 8 seats means 8 seats left, even with a stock of 20, and Rentals › Departures counts the seats against that limit (“7 / 8, Limited by boat”). Past that: “Nobody is free to run this departure for more guests. Please choose another one.”
  • A booking taken under Limit sales gets its people and resources assigned at once, whatever Fill staff says, so the next customer can’t count on the same guide.

You can always book from the admin; the staff screens then show what is missing.

Resources also rented on their own #

Some resources are also rented: you hire a boat out bare, and the same boat runs your sunset cruise. Link them so neither is double booked.

  1. Open Rentals › Staff & resources › Resources and edit the resource.
  2. Under Also rented as, choose the rental product (or variation) and the Units it is.
  3. Click Save changes.

Then:

  • while the bare boat is booked, the resource is busy and isn’t offered for a cruise;
  • when the boat is given a cruise, that product’s stock is booked for the time, so its calendar shows it taken.

When the job ends or the resource is taken off it, the stock is free again.
